We are hiring an office administrator / customer care representative to run our leads. Every call, form and message about a roof lands on your desk first. You find out what the customer needs, book the inspection, get it to the right salesperson, and keep the job moving until it is signed and finished.
You would own our customer system, GoHighLevel. That means every lead is entered, every job has a dollar value and the right status, and nothing sits without a follow-up. It is a busy desk, more so after a storm. You do not need to know roofing. We will teach you that part.
Bakeris Roofing is family owned. Jeff Bakeris runs it and has since 1990. The shop is in Runnells and there's an office in Des Moines.
What you would do
- Answer calls and messages from customers and return the ones that came in after hours
- Enter every new lead into GoHighLevel, including how the customer found us, and hand it to the right salesperson
- Book inspections and installs on the shared calendar so the whole team sees them
- Keep every job current: dollar value filled in, status moved as it goes from quote to signed to finished
- Follow up on estimates that are waiting on an answer
- Prepare and send customer agreements
- Post accounts receivable and accounts payable
- Process incoming mail
- Keep our customer email list up to date
- Review the leads that come in from our ads and flag the ones that were not real
- Ask happy customers for a review when a job wraps up
What we need
- Friendly and clear on the phone
- Organized and careful with details. You are the one who makes sure nothing gets dropped.
- Comfortable with software: email, calendars, and a customer system you will use all day
- Experience with GoHighLevel or another CRM is a big plus
- Office, customer service, or scheduling experience is a plus. No roofing experience required, we train.
